Answers to common questions about The Dental Vault, practice licensing, and how the templates work inside your dental office.

Who is The Dental Vault for?
The Dental Vault is built for dental Office Managers, Insurance and Billing Coordinators, and Practice Owners who want consistent, professional appeal letters for denied claims. If your team spends time rewriting the same SRP, crown, or perio maintenance narratives, this is for you.
What formats are the templates in?
Templates are delivered as Microsoft Word documents (.docx) inside a ZIP folder. You can add your logo, edit the wording, and organize the files into your own internal folders or shared drives.
Is this a subscription?
Not at this time. The Dental Vault is a one-time purchase per practice location. You pay once for the pack you choose and can reuse the templates as often as you like at that office.
Can I use the templates at multiple offices?
Each purchase is licensed for a single practice location. If you manage multiple offices, we ask that you purchase one license per location so each practice is properly covered and can keep its own set of files.
Do you see or store our patient information?
No. We never see your patient data. Templates are downloaded and edited on your own computers. All placeholders are blank, and only your team decides what information and documentation are sent to payers.
Does this guarantee that my claim will be paid?
No template can guarantee payment. However, clear narratives, better documentation, and consistent language significantly improve the chances of having denials overturned and recovering lost revenue.
What kinds of denials are covered?
The Starter Pack focuses on common, high-impact denials such as SRP “not medically necessary,” crown “filling would suffice,” perio maintenance downgraded to prophy, frequency limitations, and timely filing issues. The Full Library expands into additional denial scenarios and can grow over time.
Do you offer refunds?
Because these are digital downloads that can’t be “returned,” all sales are generally final. If you have any trouble accessing your files or something isn’t what you expected, please contact us and we’ll do our best to make it right.
